PREPARE FOR YOUR SESSION

A little preparation makes a big difference.

You do not need to make everything perfect. A clean horse, a few thoughtfully chosen items, and enough time to settle in will help us create a relaxed, polished gallery that still feels like you.

What to Bring

  • Your preferred halter, bridle, saddle, lead rope, and any meaningful tack you would like photographed.
  • A grooming brush, clean cloth, hoof pick, fly spray, and a few favorite treats if your horse responds well to them.
  • Water for you and your horse, especially during warmer sessions or at locations without easy access to water.
  • Any personal items you want included, such as a hat, championship buckle, ribbons, award, jacket, blanket, or family keepsake.
  • An experienced helper or handler is strongly encouraged if your horse may need extra attention between photographs.

Grooming Your Horse

  • Give your horse a thorough grooming before the session, paying special attention to the face, mane, tail, legs, and hooves.
  • Clean visible tack, leather, bits, hardware, saddle pads, and blankets so details photograph well.
  • If you plan to braid, clip, trim, or bathe your horse, complete it early enough that neither you nor your horse feels rushed.
  • Bring a brush and clean cloth for quick touch-ups after trailering, grazing, or outfit changes.
  • Normal marks and a little dust happen around horses. We are looking for polished and natural—not stressful perfection.

Outfits & Changes

  • The Signature Experience includes up to two looks. Choose clothing that fits comfortably and lets you move safely around your horse.
  • Solid colors, denim, boots, western textures, simple layers, and timeless pieces usually photograph beautifully.
  • Avoid very small busy patterns, large distracting logos, or anything you will constantly need to adjust.
  • Bring outfits on hangers and keep boots, hats, jewelry, belts, and accessories together so changes stay quick.
  • If riding is planned, bring the appropriate riding clothing and safety gear for you, your discipline, and your horse.

Session-Day Tips

  • Plan to arrive about 15–20 minutes early so your horse can unload, settle, and become comfortable with the location.
  • Feed and exercise your horse according to your normal safe routine. Avoid making major routine changes just for the session.
  • Do not worry if your horse needs a break. We build time for repositioning, calming, grooming touch-ups, and natural pauses.
  • Please tell us before the session about sensitivities to flashes, drones, traffic, livestock, dogs, unusual sounds, or unfamiliar environments.
  • For safety, never attempt a pose, riding maneuver, or handling situation that you would not normally consider safe for you and your horse.
Best advice: Come prepared, but do not come stressed. Horses respond to our energy. We will work patiently, adapt to your horse, and prioritize safe, natural moments over forcing a pose.

BOOKING & SESSION POLICIES

These policies help protect your session date, your horse, and the production plan. Custom projects may include additional terms in the signed service agreement.

Booking & Payment

  • A signed service agreement and 30% reservation retainer are required to reserve the session date.
  • The date is not held until both the agreement and retainer are received.
  • The remaining balance is due 48 hours before the scheduled session unless a written payment arrangement says otherwise.
  • Requested add-ons, permits, venue fees, special rentals, or approved travel charges are added to the final invoice.

Cancellation & Client Rescheduling

  • The reservation retainer is non-refundable to the extent permitted by applicable law because the date has been reserved and other work may have been declined.
  • With at least 72 hours' notice, one client-requested reschedule may be transferred to a new available date within 90 days.
  • Rescheduling with less than 72 hours' notice may require a new reservation retainer, except for qualifying weather or safety conditions.
  • No-shows or same-day cancellations may forfeit amounts paid, except where prohibited by law or otherwise agreed in writing.

Weather & Horse Safety

  • Horse and human safety always take priority. Full Compass Media may postpone coverage because of lightning, high winds, heavy precipitation, unsafe footing, extreme temperatures, wildfire conditions, or other unsafe conditions.
  • If Full Compass Media determines weather or site conditions are unsafe, the session may be moved one time at no rescheduling charge.
  • Cloud cover, mild wind, or changing light do not automatically require a reschedule.
  • Golden-hour and sunset light are planned when practical but cannot be guaranteed because natural conditions change.
  • The client is responsible for providing a reasonably safe, manageable horse and an experienced handler when needed.

Travel & Location Fees

  • Standard travel within 30 miles of Clovis, New Mexico is included.
  • Travel beyond the included radius is billed at $0.75 per mile round trip for miles beyond that radius unless a project quote states otherwise.
  • Projects requiring significant travel, overnight lodging, parking, special access, ranch/arena fees, or permits are quoted before booking.
  • The client is responsible for securing permission to photograph on private property, ranches, arenas, or event grounds unless Full Compass Media agrees to handle that permission in writing.

Image, Video & Print Delivery

  • Signature-session photographs and the included teaser reel are normally delivered within 7–10 business days after the session.
  • Add-on cinematic films are normally delivered within 10–15 business days, depending on production scope.
  • Rush editing is available when scheduling allows for +25%.
  • Final images are professionally selected, color-corrected, and retouched in the Full Compass Media style.
  • Raw, unedited, rejected, or source files are not included unless specifically purchased or agreed in writing.
  • Online galleries remain available for at least 30 days. Clients are responsible for downloading and backing up delivered files.
  • Personal printing and social-sharing rights are included. Breeders, trainers, ranches, sponsors, publications, and other business uses require an appropriate commercial-use license.
  • The included 8×10 print is produced after the client selects the final image for printing.

Simple answers to the questions riders and horse owners ask most often before booking.

How do I book my Horse & Rider Experience?

Your session is officially reserved once we receive your signed service agreement and a 30% reservation retainer. The remaining balance is due 48 hours before your scheduled session unless we have approved another payment arrangement in writing.

What if I need to cancel or change my date?

Plans change. With at least 72 hours' notice, you may move your session one time to another available date within 90 days. Because your retainer holds time specifically for you, it is generally non-refundable. Cancellations with less than 72 hours' notice or missed sessions may require a new retainer to book another date.

What happens if the weather is unsafe?

Your safety and your horse's safety come first. If Full Compass Media determines that weather or location conditions are unsafe for the session, we will reschedule it one time at no additional rescheduling charge. Light clouds, moderate wind, or changing sunlight do not automatically mean the session needs to be moved.

Do you charge a travel fee?

Travel within 30 miles of Clovis, New Mexico is included in your package. For locations beyond that area, travel is billed at $0.75 per mile round trip for the additional mileage. If your session requires significant travel, lodging, or special access, we will include those costs in your quote before you book.

How soon will I receive my photos and video?

Signature-session photographs and the included teaser reel are normally delivered within 7–10 business days. Cinematic film upgrades are normally delivered within 10–15 business days, depending on the project. If you need your media sooner, rush editing may be available for an additional fee.

Will I receive the RAW or unedited files?

The standard package includes your professionally finished photographs and video, not RAW or unedited files. We carefully select, color-correct, and retouch the strongest images so your final gallery represents the finished Full Compass Media look. RAW, rejected, or source files are only provided when specifically agreed to in writing.
